Operational Documentation

What happens when your
key person
walks out the door?

Every Argentine SME has people who carry critical operational knowledge entirely in their heads. When they leave — for vacation, illness, or resignation — the business grinds to a halt. We extract that knowledge and turn it into clear procedure manuals, written or filmed.

We do operational documentation — not HR consulting or performance evaluation. Our work focuses exclusively on capturing and structuring the procedural knowledge that keeps your business running.

The knowledge that runs your business lives in someone's head

"Who knows how to handle the supplier when there's a pricing issue?" "Who remembers the exact assembly sequence for that order?" "Who set up the system three years ago and never documented it?"

In most Argentine SMEs, the answers to these questions point to one or two specific people. That concentration of undocumented operational knowledge is a structural vulnerability — not a personnel issue.

When that person is unavailable, even briefly, the business loses efficiency, makes errors, or stops entirely. The solution isn't replacing the person — it's capturing what they know before the situation becomes urgent.

Learn about our Initial Diagnosis

Three ways we document what your team knows

We adapt our documentation format to the nature of each process and the way your team actually works.

Written Procedure Manuals

We conduct structured interviews with the people who perform each process and convert their knowledge into clear, step-by-step written documentation. Formatted for practical use — not filed away and forgotten.

Filmed Procedure Guides

For processes where seeing is understanding, we film the procedure as it's performed and produce structured video guides. Particularly effective for physical tasks, machine operation, and assembly sequences.

Combined Documentation

Written and filmed documentation working together. The written manual provides the structure and searchable reference; the video provides the visual context and nuance that text alone cannot convey.

How knowledge extraction works in practice

A structured process designed to minimize disruption to your team's daily work.

01

Initial Diagnosis

We map which processes are undocumented and which people carry the most critical knowledge, identifying where your business is most exposed.

02

Structured Interviews

We sit with the people who actually do the work — the machine operator, the order assembler, the supplier negotiator — and extract their process knowledge through guided conversation.

03

Documentation Production

The extracted knowledge is structured, written, and/or filmed into clear procedure manuals. We handle formatting, organization, and production.

04

Review & Delivery

Documentation is reviewed with your team to verify accuracy, then delivered in formats your business can immediately put to use.

Documentation that reflects real operations

We talk to the people who actually do the work

Most documentation projects fail because they ask managers to describe processes they don't perform. We go directly to the source.

Source-level interviews
We speak with the person who operates the machine, assembles the orders, or manages the supplier relationship — not just their supervisor.
Tacit knowledge extraction
We use structured interview techniques designed specifically to surface knowledge that experienced workers perform automatically and rarely articulate.
Not HR. Not consulting.
We don't evaluate people, recommend organizational changes, or produce performance reports. We document operational processes. That's it.
Immediately usable output
Documentation is structured to be used the day it's delivered — not stored in a drive and never opened again.

Our focus
Operational documentation only

What would happen if your most knowledgeable person couldn't come in tomorrow?

That's not a hypothetical — it's a question every SME should be able to answer confidently. Documented procedures are what make that answer possible.

What people ask before getting started

Will this disrupt our daily operations?
Our interview process is designed to work around your team's schedule. Sessions are typically short and focused, and we coordinate timing to avoid peak operational periods. Most businesses report minimal disruption during the documentation process.
What if our employees are reluctant to share what they know?
This is one of the most common concerns. Our approach is transparent: we explain to employees that documentation protects them too — they're less likely to be the only person responsible for critical tasks, and their expertise is formally recognized. We're not evaluating performance.
How long does the documentation process take?
Timeline depends on the number of processes and their complexity. An initial diagnosis helps us scope the work accurately. Focused documentation of a single critical process area can often be completed within a few weeks.
In what format is the documentation delivered?
Written manuals are delivered in formats your team can use and update: structured documents, PDF, or digital formats compatible with your existing systems. Video guides are delivered as organized video files. We discuss format preferences during the initial diagnosis.
Do you work with businesses outside Buenos Aires?
Yes. While our office is in Buenos Aires, we work with SMEs across Argentina. For businesses in other provinces, we combine remote sessions with on-site visits where the process requires direct observation.
Is this only relevant when someone is about to leave?
Not at all. Operational documentation is most valuable when done proactively — before a departure, illness, or vacation creates an emergency. Businesses that document processes before a crisis have more time to do it thoroughly and correctly.

Ready to capture what your business knows before it walks out the door?

The Initial Diagnosis is where we begin. It's a structured conversation that maps which processes are undocumented and where your business is most exposed. From there, we scope a documentation plan that fits your situation.
